Why you could be forced to upgrade ACT! software to the latest version . . .

There is much abuzz about Windows Vista. If you haven’t heard, it is Microsoft’s next operating system, set to release later this month. You can check out the features here:

I think it is amazing the impact of a new operating system to application developers, partners, and ultimately the end users/customers. Consider a major service pack release to an existing operating system…


When Windows XP Service Pack 2 was released, it created quite a bit of havoc for many, as users were uncertain how to respond to a rash of security warnings when launching their daily
applications (“I never had a security warning before, is our application safe to use?”). To be fair it was a double edged sword, Microsoft customers were experiencing significant productivity losses, due to security issues in Windows, and while some could prepare for the upcoming security patch to help (those in the know about service pack 2), many small business owners could not. The result: users were confused slowing productivity at best, as many had to determine what to do with the security warnings, or, at worst, troubleshoot why their application was no longer working.You may be asking, “What does this have to do with ACT!?”

What does this have to do with ACT! you ask? Glad you asked. With the forthcoming release of Windows Vista it seems like Microsoft has done it again. As it pertains to Vista, initial reports are a bit more drastic, in fact ACT! by Sage will not work for many. Reportedly, anything older than ACT! 2007 will NOT run on Windows Vista. This is due to the development environment Vista and ACT! was created in. For simplicity sake, let’s just say that ACT! 2007 was developed in a “Vista aware” environment. Whereas older versions of ACT! were not (afterall Vista wasn’t close to release during ACT! 2006 and prior development cycles). Furthermore, initial reports are that Sage Software won’t be able to put out a patch for customers to make it work, as this is an operating system issue…oh yeah, Microsoft owns that.ACT! users running Windows Vista would have to upgrade to ACT! 2007.”But I don’t have plans to upgrade to Vista anytime soon…” The reason I’m posting this now (as oppose to after my first hand experiences), is that computer makers typically offer a free upgrade
to an operating system when customers purchase close to its launch. If you own an incompatible version of ACT! this could spell trouble. So you buy a new laptop, and you get the Vista upgrade in the mail. With glee you stick the disk in to the computer to install the Vista ‘upgrade’, and
experience first hand that your customer management database application no longer works. You do have the option to Upgrade ACT!, but now you are forced to upgrade, instead of having a choice to do so. I don’t know about you, but in my experience customers don’t typically respond kindly when forced to upgrade. Not a huge deal when it is for a single license (depending on flavor, upgrade is $129-$229), but what if this is for 5 or 10 workstations or more? Becomes a significant cost, not to mention the cost of implementation and downtime.

So be aware, if you are an ACT! user, and intend to upgrade to Windows Vista, be sure your version of ACT!, and any other critical software application is compatible. Windows Vista looks very pretty on the outside, and it may well measure up to the signature marketing that is behind it. However, consider the impact to your business, and make sure all is well with your applications on Windows Vista first. Otherwise, your ‘upgrade’ may create an unexpected ‘downgrade’ to your pocketbook.

ACT! for Web Product, What is it all about?

Many times I work with clients who have sales, marketing, or support staff in various parts of the country (or world). Afterall it’s the 21st century, and headquarters isn’t always where the customer is, and in many cases, the closer one is to the customer the better chance of making the sale. Commonly, Sales Mangers, and business owners want a way to centralize information about customers and contacts that these remote staff members work with on a day to day basis.

In recent years quite a few products have entered the market to solve that very problem, and ACT! is no exception. More recently they shipped ACT! 2007 Premium for Web. It allows people to get to their database with a simple Internet connection, and the Internet Explorer web browser.

Using ACT! to Build Consistency in the New Year

I’m a big fan of planning. In fact, it has been said, “Success is in the planning”, and I tend to agree. If time is taken to determine specific actions, the project or outcome will have a better chance to succeed. In general, not many will argue with this line of thinking, the challenge is action . . . believing it is important enough to actually do. For planning to be complete one should consider both personal and business planning, as they flow into each other. This article will focus on the business aspect (but don’t YOU forget the personal side like family, faith, & friends) of planning, covering historical success, maximizing future activities, and utilizing a contact manager like ACT! to build consistency.

Before one can effectively plan, they must also consider what has brought them to the present. Answering questions like, what did I do in the last year? What worked well? What worked not so well? With which people did I experience the most success?

If you are using a contact manager like ACT! properly, you should be able to ask these questions of your database. For example, if you are using sales opportunities, you can report on the number of sales you closed as a result of meeting someone at Tradeshow A vs. Tradeshow B. You can use other functions to tabulate what lead sources produced contacts that took your desired action, as well as why you are losing business to which competitors.

Other questions pertain to items in the coming year. Events: What events will I be attending? What would be an acceptable outcome to justify attending? What can I be doing now to prepare for that event? Relationships: Who can I partner with to maximize mutual success in the coming year? Continuing Education: This is the greatest asset in any business, if you are committed to continuing education, you are committed to the success of your business. What skill sets do I wish to sharpen in the coming year? Who are the people I would like to learn from? What events do they have, and when?

While I cannot share all possible questions of looking back and forward, I can give you an idea where to start. One way you can use ACT! by Sage is to help gauge your progress. By using the calendar, you can schedule activities necessary in leading up to a tradeshow. If you get one thing from this article, it is this, Schedule Monthly Reviews of projects or documented goals as a recurring activity. Each month you review your marketing and/or sales projects, their progress, if they are on schedule, and what needs to be done by next months review. Other ideas, are you tracking with your prospecting plans? Are your newsletter list building initiatives on track? By following this, you can limit the chances of task overload days before the deadline, and you are building a lifestyle of consistency. Setting a reasonable pace will allow for more progress than the shooting star approach to productivity, but this will require discipline.

There is an addon product that I’d like to introduce you to here. It enhances the functionality of the ACT! Calendar in many ways. One thing it allows you to do is colorize activities. So, for example all your planning activities show up a unique color, so when you print the calendar your eye can easily locate these activities. Whatever tools you use, be it pen and paper or a comprehensive contact manager like ACT! it is important to understand your own history (what got you where you are) as well as what needs to be done to maximize future activities. Once you have this information use a tracking system/tool to schedule consistency of activity so that your goals might be realized.

Good Hardware Makes ACT by Sage Run Faster

Many people ask me what can be done to make the ACT! by Sage Contact Management system run faster. This is especially true for those who have used ACT! 6 (or older) for years, and are puzzled to know that the newer versions (now running Microsoft SQL) are slower. My answer… “it depends.” Actually I have an exhaustive optimization checklist that I run through with my clients systems. Some are database specific, and others are environmental specific (the computer itself).

One of the key components is, hardware. To make ACT! move faster than a snails pace, you need a system with plenty of memory, speedy drives, a solid processor, and middle of the road video card. I have bounced around some of the more popular computer hardware vendors, and they have many of the same challenges. Mass production, smaller hardware margins, and support that can be, well, difficult at times… It seems with all the competition, product quality suffers.


I’ve recently come across a vendor that I intend to use in the future. I’ve heard great reviews from many, so I headed to the site to check it out. While there, I noticed they are having promotions through the end of the year, and I thought, if you are trying to get in some purchases to fall on the 2006 tax schedule, computer hardware is a great one to invest in.
